How to Reconcile PODs Against Freight Invoices Without Spreadsheets
Match proofs of delivery to LRs and invoices as trips close, so billing disputes and unbilled trips stop piling up at month-end.
At month-end, the billing team sits with a stack of crumpled PODs, a trip register and the invoice list. Drivers hand in copies late or not at all. Some carry shortage remarks that never reached the invoice. Customers reject bills for missing PODs, and payment slips by another cycle while someone hunts for paper.
The reconciliation itself is simple logic: did this trip deliver, in what quantity, with what remarks, and was it billed correctly. But it is done by hand across WhatsApp photos, scanned PDFs and Excel. Unbilled trips hide in the gaps, and disputed invoices quietly age in receivables.
Will this work with handwritten PODs?
Mostly, yes. Stamps, LR numbers and quantities are usually readable from a clear photo. Where handwriting is ambiguous, the record goes to a person instead of being guessed. Asking drivers for a flat, well-lit photo makes a real difference.
Do we still need physical PODs?
Some customers and contracts still ask for originals, so check your agreements. Digital capture does not remove that requirement. It means you can bill and resolve disputes without waiting for the paper to travel back to head office.
Where should reconciliation results live?
In the system your finance team already uses, such as your TMS or Tally, with the POD image attached to the invoice record. A separate tool nobody opens just creates another spreadsheet to reconcile.
