Turning Dealer Orders From WhatsApp and Email Into Clean Sales Orders

Capture dealer orders from WhatsApp messages, photos and emails, validate them and post clean sales orders into Tally or your ERP.

In short
Dealer orders arrive as chats, voice notes, photos and emails with loose product names
Map dealer wording to your SKU master and check price, credit and stock first
Post clean sales orders into Tally or your ERP and confirm back to the dealer
The problem

Dealers order the way they talk. A WhatsApp message says 20 boxes of the blue one, same as last time, a photo of a handwritten list follows, and an email arrives in a different format. A sales coordinator retypes all of it into Tally or the ERP, guessing SKU codes and calling back when something is unclear.

Errors show up later as wrong dispatches, credit notes and annoyed dealers. Orders get missed when a chat scrolls away. Credit limits are checked after the order is punched, if at all. During peak season the backlog grows, and the dealers who shout loudest get served first rather than the ones who ordered first.

Why it happens
01Dealers use nicknames, old codes and pack sizes instead of your SKU codes
02Orders are spread across personal WhatsApp numbers and multiple inboxes
03Credit limit, price list and stock are checked late or manually
04No order acknowledgement, so dealers re-send and duplicates appear
How to fix it
1
Use one order channel
Give dealers a single WhatsApp business number and order email, linked to your system rather than personal phones. Publish it on invoices and in all dealer communications.
2
Build an SKU alias list
For each SKU, record the names, short codes, colours and pack sizes dealers actually use. Grow the list every time a coordinator corrects a mapping.
3
Validate before posting
Check each line against the dealer's price list, scheme eligibility, credit limit, overdue balance and available stock, and flag issues before the order reaches dispatch.
4
Confirm back to the dealer
Send a short confirmation listing SKUs, quantities, value and expected dispatch date. Ask the dealer to reply only if something is wrong, which catches errors early.
Where an AI agent helps
Input
Dealer WhatsApp messages, photos of order lists and order emails
Agent does
Reads each order, maps items to SKUs, checks price, credit and stock, and drafts the sales order
Human gate
Sales coordinator approves unclear mappings and orders over credit limit
Outcome
Clean sales orders in Tally or ERP and a confirmation to the dealer
What to measure
Hours from dealer message to sales orderOrder lines needing manual correctionCredit notes from wrong dispatchesOrders held for credit or stock issues
Questions
Can it handle voice notes and handwritten lists?

Voice notes can be transcribed and clear photos of handwritten lists can usually be read. Anything uncertain, such as an unclear quantity or product, is flagged for the coordinator to confirm rather than guessed.

Does this work with Tally?

Yes. Sales orders can be created in Tally through its import and integration options, or posted to most ERPs through their standard interfaces. The coordinator reviews flagged orders before anything is posted.

Will dealers have to change how they order?

Very little. They keep using WhatsApp or email. The main change is ordering to one official number instead of a salesperson's phone. Confirmations sent back to them usually make the change easy to accept.
