Channel Partner Follow-Ups: Keep Broker Leads and Payouts on Track

Run channel partner and broker relationships with clear lead tagging, regular updates and transparent brokerage tracking.

In short
Brokers send buyers where they feel informed, protected on tagging, and paid on time.
Register every partner lead with a timestamp and validity window, and share status updates proactively.
Track brokerage from booking to payout so partners never have to chase you.
The problem

A broker brings a family for a site visit. Two weeks later the family books directly, and the sales team says the lead was already in the CRM. The broker disagrees, has no proof, and quietly starts sending clients to the competing project down the road.

Channel partners often bring a large share of bookings in Indian real estate, yet many developers manage them through WhatsApp groups and a spreadsheet. Partners do not know what happened to their leads, brokerage invoices wait for weeks, and the channel sales team spends more time resolving disputes than building relationships.

Why it happens
01No formal lead registration with timestamp, so tagging disputes have no clear answer.
02Partners get no status updates after the site visit unless they keep calling.
03Brokerage terms, slabs and payout milestones are not recorded per booking.
04Partner details such as agent registration and GST are not verified at onboarding.
How to fix it
1
Onboard partners properly
Collect the partner's RERA agent registration where applicable, PAN, GST and bank details, plus agreed brokerage terms. Ask your legal team to confirm current registration requirements.
2
Register leads with timestamps
Let partners register a buyer with name and phone before the visit. Confirm registration instantly, state the validity window you define, and resolve duplicates by earliest valid timestamp.
3
Send status updates proactively
After each visit, negotiation or booking, update the partner automatically. A short weekly summary of their leads reduces calls and builds trust in your tagging.
4
Track brokerage to payout
Link each booking to its partner, brokerage slab and payout milestone, such as agreement registration. Show partners invoice status and expected payment date without them asking.

Questions
How long should a broker's lead registration stay valid?

There is no universal rule. Many developers set a fixed window from registration or site visit and state it in the partner agreement. Choose one, publish it, and apply it consistently so disputes are settled by the rule, not by seniority.

Do channel partners need to be RERA registered?

In many states real estate agents must register with the state RERA authority to facilitate sales. Requirements vary by state and change over time, so check with your legal or compliance team before onboarding partners.

When should brokerage be paid?

That depends on your agreement, commonly after agreement registration or a set payment milestone. Whatever you choose, write it down per booking and give partners visibility of where each payout stands.
