In real estate, lending, logistics and most services businesses, the enquiry goes to whoever answers first. Portals and ad platforms send the same lead to several vendors; the one that replies in the first minute gets the conversation, and the one that calls back tomorrow gets a voicemail. Here is what should happen to an enquiry in its first five minutes, and how an AI agent does it without sounding like one.

Minute 0 — capture on the channel it arrived on

A lead from a portal, a form, an ad or a WhatsApp message should land in one queue with its source attached. If it came on WhatsApp, the reply goes on WhatsApp; if it came by phone, the callback is a call. Channel-switching is where leads die.

Minute 1 — acknowledge like a person

One short message that uses the enquiry's own words, states what happens next and asks exactly one question. No menus, no 'press 1'. The agent drafts from the enquiry, not from a template.

Minutes 2–3 — qualify with three questions, not ten

Budget or ticket size, timeline, and the one thing that disqualifies (location, eligibility, minimum order). Everything else is for the human conversation. The agent scores the answers and decides: book, nurture or route.

Minute 4 — book the meeting or the visit

Offer two concrete slots from a real calendar, confirm in the same thread, send the invite. In real estate this is the site visit; in lending it is the call with a loan officer; in logistics it is the quote review.

Minute 5 — hand off with context

The sales person gets the lead, the transcript, the score and the booked slot in the CRM, not a phone number on a spreadsheet. The agent's work ends where the human conversation starts.

How it avoids sounding like a bot

Short messages, one question at a time, the prospect's own words reflected back, no exclamation marks, and an honest line when asked: yes, this first reply is automated, and a named person will be on the call.

India specifics

WhatsApp Business runs on Meta's Cloud API with approved templates for the first message; AI outbound calls must run from TRAI 140/1600-series numbers via a licensed carrier after DLT registration, so voice is inbound-first. A human calling back from a normal number is fine.
